5. Distribution Forms and Typeform

We use Typeform to collect music distribution applications.
Information entered into the forms is used to review projects, verify the information required for distribution, communicate with the individuals concerned and, where applicable, prepare the requested services.
Applications received are generally processed within a maximum of 48 hours.
A PDF copy of the form may be emailed to the applicant to confirm receipt of the information. This copy may also be retained in our records.
Submitted forms may be temporarily stored in our Typeform account before being archived or deleted.
Typeform may also process certain technical data required for the form to function. Its practices are described in its Privacy Policy.
The saving of unsubmitted drafts, where available, is separate from the final submission of a form to TQIDr.

6. Music Distribution and Disclosure to Platforms

When an application results in a music distribution service, certain information is shared with the relevant technical partners and digital music platforms.
This information consists of data required to identify, distribute and commercially exploit musical works and recordings, including:

Each recipient has access only to the categories of data necessary for their involvement.
TQIDr does not sell the personal data it collects to advertisers or data brokers.

8. Data Retention Periods

We retain personal data only for as long as necessary for the purposes for which it was collected, subject to legal obligations and requirements relating to rights management.

8.1. Distribution applications that do not result in a service

Distribution forms that do not result in a service are retained for a maximum of six months from the date they are received.
At the end of this period, copies held by TQIDr are deleted from the relevant storage locations, including PDF archives, email correspondence and Typeform, unless further retention is legally justified.

8.2. Applications resulting in a service

When an application results in a service, the form and associated information are retained for as long as necessary to provide and monitor that service.
Certain information may subsequently be archived to:

  • Document services provided and invoices issued;
  • Monitor music releases and their metadata;
  • Document permissions and rights relating to works and recordings;
  • Comply with legal and accounting obligations;
  • Manage potential disputes or claims.

Supporting accounting documents are retained for ten years, in accordance with applicable obligations.
Other information is retained for as long as necessary for its purpose, particularly where a music release remains commercially available or documentation relating to rights is still required.

8.3. Archiving and Deletion of Typeform Data

Forms that have resulted in a service may be archived as PDF files on TQIDr’s storage devices and in the associated email correspondence.
Responses stored in Typeform are deleted within a maximum of six months for applications that do not result in a service. For applications that result in a service, copies that are no longer needed in Typeform are deleted during a cleanup carried out at least once a year, while necessary records are retained separately.
This cleanup does not affect the retention of records required for monitoring services and complying with legal obligations.

8.4. Invoicing and Payments

Data required for invoicing and payments is processed in particular through PayPal.
Accounting documents are retained for the applicable statutory periods. Data also held by PayPal may be subject to that provider’s own retention policies.

8.5. Browsing Data and Cookies

The retention periods for cookies and similar technologies are detailed in our Cookie Policy.

9. Transfers of Data Outside the European Economic Area

In connection with the operation of our website and the provision of our services, certain personal data may be processed or accessed from countries outside the European Economic Area (EEA). Such transfers may involve the following services in particular:

  • Typeform, used to collect music distribution applications. Typeform provides for European Standard Contractual Clauses and additional safeguards for the international transfers concerned.
  • Google Analytics 4, used for audience measurement subject to your consent. Google provides, in particular, for reliance on the EU–US Data Privacy Framework, where applicable, or Standard Contractual Clauses.
  • PayPal, used for invoicing and payments. PayPal provides, in particular, for Binding Corporate Rules covering certain transfers within its group, as well as Standard Contractual Clauses or other lawful mechanisms depending on the circumstances.

As part of music distribution, certain metadata identifying works, recordings and their contributors may also be transmitted to partners and platforms operating internationally.
Such transmissions are limited to the information necessary for the relevant operations, as described in Section 6.
Where transfers of personal data are subject to the GDPR, they must comply with the mechanisms provided for under the regulation, including European Commission adequacy decisions or appropriate safeguards under Article 46 of the GDPR.
You may contact us using the details provided in Section 2 to obtain further information about the safeguards applicable to the processing of your data.

10. Data Security and Confidentiality

TQIDr takes precautions appropriate to the nature of the information processed to reduce the risks of unauthorised access, loss, alteration or unjustified disclosure.
Access to the tools and storage locations used to process personal data is protected and restricted to authorised individuals.
Forms and associated documents may be stored in local digital archives, email correspondence and the technical services necessary for our activities.
We seek to limit the use and disclosure of data to the actual needs of our services and the obligations arising from them.

11. Required and Optional Information

Certain form fields are mandatory to allow us to review a distribution application and, where applicable, prepare a service.
Other information is optional and helps us better understand the project or facilitate communication.
Failure to provide essential information may prevent us from fully reviewing an application or providing the requested service.

12. Newsletter and Communications

The distribution form allows users to indicate whether they agree to receive a TQIDr newsletter if one is introduced.
This option is provided in anticipation of a possible future service: no one is currently subscribed automatically to a newsletter as a result of their response.
The choice expressed is retained alongside the information submitted through the form.
If a newsletter is introduced, the individuals concerned will be informed of its purpose and how their data will be processed. Emails will only be sent to individuals who have provided valid consent for the communications concerned.
Every newsletter will include an easy way to unsubscribe.
Communications directly related to a distribution application or service are independent of any such newsletter.

13. Rights of Data Subjects

Under the General Data Protection Regulation (GDPR), you have the following rights, subject to the conditions laid down by law:

  • Right of access: obtain information about the personal data concerning you;
  • Right to rectification: request the correction of inaccurate or incomplete data;
  • Right to erasure: request the deletion of your data where the legal conditions are met;
  • Right to restriction of processing: request the restriction of certain processing activities in circumstances provided for by law;
  • Right to object: object to certain processing activities, particularly those based on legitimate interests;
  • Right to data portability: receive certain data in a structured, reusable format where this right applies;
  • Right to withdraw consent: withdraw previously given consent at any time, without affecting the lawfulness of processing carried out before its withdrawal.

To exercise your rights, please contact us at:
[email protected]

We will respond to your request within the time limits prescribed by law, generally within one month.
A request for erasure may not necessarily result in the deletion of all information where its retention remains required by law or justified by a contractual obligation or the defence of legal rights.
You may also lodge a complaint with the French Data Protection Authority (CNIL): https://www.cnil.fr.

14. Automated Decision-Making

Music distribution applications are reviewed by TQIDr through a process involving human assessment.
We do not make decisions producing legal or similarly significant effects on individuals solely on the basis of automated processing.

15. Changes to This Privacy Policy

We may amend this Privacy Policy to reflect changes in our activities, technical tools or applicable regulations.
The date of the latest update is shown at the top of this page.
Where substantial changes require it, we will inform the individuals concerned through appropriate means.
